Embroidery Cost and Minimum Order Guide

Embroidery is priced by a logic all its own: stitches, not ink. Once you understand how stitch count, digitizing and machine time drive cost, quotes stop being mysterious and your designs can be engineered to embroider beautifully for less.

Quick answer

Embroidery is priced on stitch count and machine time, plus a one-time digitizing fee that is reused on every future order. A left-chest logo typically runs 4,000-8,000 stitches, a full chest design 8,000-15,000, and large back pieces 20,000-50,000 or more. Within garment production there is usually no separate embroidery MOQ beyond the order itself.

Why embroidery is priced in stitches

An embroidery machine forms stitches at a roughly constant rate, commonly 600 to 900 stitches per minute in production. A 5,000-stitch chest logo therefore occupies a machine head for 6 to 8 minutes; a 20,000-stitch back piece for half an hour. Since machine time is the scarce resource, embroidery is quoted per thousand stitches, with the rate covering machine, operator, thread and overhead.

This is why two logos of identical physical size can differ several-fold in price. A fine-line outline logo at 4,000 stitches is quick; the same size filled solid with satin and tatami fill at 18,000 stitches is not. Coverage, not dimensions, drives count: dense fills, large solid areas and multiple layered colours all add stitches, while outline styles and open designs keep counts low.

As rough planning figures, a small left-chest logo runs 4,000 to 8,000 stitches, a fuller chest design 8,000 to 15,000, and large back embroideries 20,000 to 50,000 or more. In garment production, per-piece embroidery cost for a standard chest logo typically adds well under a dollar to a couple of dollars; large dense pieces can add several dollars each. Treat these as indicative and get your actual artwork counted, which happens automatically at digitizing.

Digitizing: the one-time fee that shapes everything

Embroidery machines cannot read image files. Your artwork must be digitized: converted by a specialist into a stitch file that defines every stitch's position, angle, density, underlay and the sequence of colours and trims. This costs a one-time fee, typically modest for a chest logo and more for large complex designs, and the file is then reused for every future order.

Digitizing quality is invisible on a quote and decisive on the garment. A well-digitized logo has proper underlay so it does not sink into fleece, pull compensation so circles stay circular despite fabric pull, and sensible pathing that minimises trims and thread breaks. A cheap automated digitization of the same artwork puckers, gaps and distorts. Ask to see a sew-out, a physical stitched sample on your actual fabric, before approving; reworking a digitized file costs little compared to a production run of distorted logos.

Practical notes: keep and own a copy of your stitch files, ask for the DST or similar machine file, so you are not locked to one supplier; and re-digitize rather than rescale when you want the same logo at a very different size, because stitch densities that work at 8 cm fail at 3 cm.

Size, placement and what fabric allows

Standard placements are well mapped: left chest at 6 to 10 cm wide, centre chest up to about 25 cm, sleeve at 5 to 8 cm, back yoke or full back up to 28 to 30 cm depending on hoop sizes, plus cuffs, hoods and pocket tops with smaller limits. Each placement requires hooping, clamping the garment area flat, so positions that cannot be hooped flat, over thick seams, across zips, very close to edges, are restricted or need special framing.

Fabric sets the detail floor. Dense, stable fabrics, twill caps, heavy jersey, fleece with proper backing, take fine detail well. Loose knits, piqué and deeply brushed fleece swallow small elements: text below roughly 5 mm letter height becomes illegible, thin outlines vanish, and small negative spaces close up. Digitizers compensate with underlay and stabilisers, cutaway backing for knits is standard, but the honest fix is designing for the medium: bolder shapes, fewer tiny details, minimum 4 to 5 mm lettering.

Puff, 3D and specialty techniques

3D puff embroidery stitches satin columns over a foam layer, producing the raised, sculptural look standard on caps and increasingly used on hoodies and heavyweight streetwear. It costs more than flat embroidery, the foam, higher stitch densities and slower running add up, and it imposes design rules: bold, rounded shapes work; fine details, small text and sharp interior corners do not, because the foam must be fully wrapped and cleanly cut by the stitching.

Beyond puff, the specialty menu includes appliqué, stitching fabric patches down, which covers large areas with far fewer stitches than fill would need and can be cheaper for big back designs; tonal embroidery, thread matched to garment colour for a subtle premium look; metallic and neon threads at a small premium and slower machine speeds; and chenille patches for a collegiate texture, usually produced as patches and sewn on. Each has its own digitizing style, so tell your supplier the technique before digitizing, not after.

Minimums, and why they are lower than you think

Standalone embroidery shops often quote minimums of 20 to 50 pieces per design, because hooping and thread changes make single pieces uneconomic. In garment production the logic is different: if a factory is already producing your 300-piece order, embroidery is simply an operation in the flow, and the effective minimum is your garment MOQ, with no separate embroidery minimum beyond the digitizing fee.

Where minimums do bite is per-design proliferation. Ten different embroidered designs across a 300-piece order means ten digitizing fees and ten machine setups, which erodes the economics; one logo repeated across the order is maximally efficient. Multi-head machines, which stitch 6, 12 or more garments simultaneously, are why repeated designs get cheap: setup is amortised across every head in every cycle.

For costing, a realistic hypothetical: a 7,000-stitch left-chest logo on a 300-hoodie order might add roughly a dollar or so per piece plus a one-time digitizing fee, while switching that same logo to a 25,000-stitch full-back piece could triple or quadruple the per-piece addition. The design decision, not negotiation, is where the money is.

Getting a quote that will not move later

Embroidery quotes drift when inputs are vague. To get a firm number, send vector artwork or a clean high-resolution file, the finished size in centimetres per placement, the placements themselves, the garment fabric, and thread colour references, Madeira or Isacord numbers if you have them, Pantone otherwise. The supplier digitizes, returns the exact stitch count and a sew-out photo or sample, and the price per piece follows mechanically.

Approve the sew-out on your actual fabric, on the bulk garment colour, in daylight, and check the back for clean trimming and appropriate backing. Then file the approved sew-out with your pre-production sample as the bulk reference. Embroidery is the most stable decoration method across production, no screens to misregister, no cure ovens to drift, so once the file and sew-out are right, bulk usually follows faithfully.
